Important information regarding UKG Clocking

UKG Pro app versus on-site punch device

If there is no on-site punch device available, please download and use the UKG App on your mobile device to clock in and out. To find the download manuals, scroll down to the 'UKG App Information and Manuals' section.

To check which facilities have punch devices on-site, refer to the ‘UKG On-Site Punch Device’ section. If you work at one of these locations, you must enrol to use the on-site device for clocking in and out.

The importance of accurately punching in and out

It is important to accurately record your punch-in and punch-out times. Your branch manager will review the hours you log to ensure timely payment. If you do not punch in or out correctly, it may result in delays in receiving your payment.

UKG App Information and Download Manuals

Is the UKG app data-free?

The UKG app is not data-free; however, punching in and out is a quick action that doesn’t use much data. You can connect to the Wi-Fi network at the MHR client location where you work to download the app or to punch in and out.

Phone's location must be enabled to use the UKG app

The UKG app requires your phone’s location to be enabled when you punch in using your mobile device.

UKG Login Guidance - Temporary and Permanent Staff

  • Permanent Staff: Click on ‘SSO Login’ or ‘Sign In’ on the UKG Pro app and enter your ER24 or Mediclinic email address along with your network password.
  • Temporary Staff: Enter your ID or Passport Number as the ‘Username’ and enter the Password that you created when you installed the app.

UKG ON-SITE PUNCH DEVICES

Where can I enrol to use the on-site punch device?

You can visit the relevant Mediclinic Hospital and consult the following representatives:

  • Weekday Shift: HR representative
  • After-Hours Shift: Night Duty Manager
  • Weekend/Public Holiday Shift: Manager on Call

How to check if you are enrolled for UKG

If you are a temporary worker and want to check if you are enrolled on the on-site UKG device, please click the 'ER24 BR Call Out' button. When prompted, scan your finger. If the scan is successful, it means you are enrolled to use the UKG device for clocking in and out. 

Please note that the 'ER24 BR Call Out' button should not be used to punch for your regular shifts, as it is specifically designated for ER24 call-out shifts. Instead, you should use the 'Punch In or Out' button to punch in or out for your ER24 shifts unless you are specifically working an ER24 call-out shift.

If you are a temporary worker, please remember to click on the 'Punch In or Out' button, enter your ID or passport number and then scan your finger when prompted to do so.

UKG SUPPORT

I am unable to download the UKG app

Please consult your ER24 Branch Manager or the ER24 Manager responsible for approving your shifts to submit a ticket to service desk.

When submitting the ticket to the service desk, the ER24 Manager must follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, "Staff Member Unable to Download UKG App".
  • Include the MHR personnel member's ID or passport number.
  • Provide the contact number of the MHR personnel member.
  • Include a detailed explanation of the issue. If possible, attach screenshots to assist the service desk team in identifying the problem.

I am unable to punch on the UKG app

Please consult your ER24 Branch Manager or the ER24 Manager responsible for approving your shifts to submit a ticket to service desk.

When submitting the ticket to the service desk, the ER24 Manager must follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, "Staff Member Unable to Punch on UKG App".
  • Include the MHR personnel member's ID or passport number.
  • Provide the contact number of the MHR personnel member.
  • Include a detailed explanation of the issue. If possible, attach screenshots to assist the service desk team in identifying the problem.

I am unable to punch on the UKG on-site device

If you are unable to punch on the UKG on-site device, it may be due to one of the following reasons:

  • You may have entered an incorrect ID or passport number. Please double-check and re-enter your ID or passport number and see if you are then prompted to scan your finger to clock in. 
  • You might not be enrolled to use the UKG device. Please reach out to the HR Office or the Night Duty Manager (after hours) at your facility to get enrolled. 
  • If you are still unable to punch in after being enrolled, please consult your branch manager for assistance in logging a ticket with service desk.

When submitting the ticket to the service desk, the ER24 Manager must follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, "Staff Member Unable to Punch on UKG On-Site Device".
  • Include the MHR personnel member's ID or passport number.
  • Provide the contact number of the MHR personnel member.
  • Include a detailed explanation of the issue.

I forgot to punch

Please notify your ER24 branch manager or the ER24 representative who approves your shifts without delay.

The UKG app is not responding

If the UKG app is unresponsive, please follow these troubleshooting steps:

  • Check your Wi-Fi connection or mobile data.
  • Uninstall and then reinstall the app.
  • Restart your mobile phone.
  • You can also attempt to clear the cache by following the steps outlined in the section below.
  • If the app remains unresponsive after trying these steps, please inform your branch manager, who will assist you in logging a ticket with the service desk.

I forgot my UKG app password

When you download the app, you will receive a default password and be prompted to create your own secure password. If you forget your UKG app password, please contact your branch manager for assistance in logging a ticket with the service desk. 

When submitting the ticket to the service desk, the ER24 Manager must follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, "Staff Member forgot UKG App Password".
  • Include the MHR personnel member's ID or passport number.
  • Provide the contact number of the MHR personnel member.
  • Include a detailed explanation of the issue. If possible, attach screenshots to assist the service desk team in identifying the problem.

IMPORTANT UKG INFORMATION FOR BRANCH MANAGERS

Steps to enrol MHR staff to clock on UKG

  • Please coordinate with the MHR ER24 Coordinator (Email: er24.mhr@mhr.co.za) to schedule a fictitious shift for the agency staff member on MHRM.
  • Once the staff member is scheduled on MHRM, please send them to the appropriate representative at Mediclinic Hospital to enrol them on UKG: Weekday Shift: HR representative / After-Hours Shift: Night Duty Manager / Weekend and Public Holiday Shift: Manager on Call

Cut-off times for staff scheduling submissions to MHR

To streamline the UKG approval process, please send your scheduling requests to the MHR ER24 Coordinator (Email: er24.mhr@mhr.co.za) adhering to the scheduling cut-off times outlined below:

  • Monthly Scheduling: All scheduling for the upcoming month must be submitted to MHR by the 24th of the current month at the latest.
  • Weekly Scheduling: All weekly scheduling must be submitted to MHR by the end of business on Wednesdays.

Submitting UKG-related service desk tickets for staff

When submitting a ticket to service desk regarding UKG issues, please follow these steps:

  • Use a clear email subject line that indicates the ticket is related to UKG. For example, ‘Staff Member Unable to Punch on UKG’ or 'UKG App Password Reset Request', etc.
  • Include the MHR personnel member's ID or passport number.
  • Provide the MHR personnel member's contact number.
  • Provide a detailed explanation of the issue and include screenshots, if possible, to assist the service desk team in pinpointing the problem.

Approving time cards on UKG (Permanent and MHR Agency Staff)

It is important to note the following regarding shift approval:

  • MHR agency staff shifts require DAILY approval on Dimensions/UKG.
  • Permanent staff shifts require WEEKLY approval on Dimensions/UKG.
